The situation

The Auchan Group needs to reconcile a large volume (millions) of transactions per year. The use of different information systems within the group make it a complex process. The financial team of the group wanted to accelerate the intercompany reconciliation process while increasing quality and was looking for a reliable software to count on.

The solution

• Intercompany has been deployed in the group’s entities worldwide to handle the entire reconciliation process for its intra-group operations.
• Implementation of Intercompany enables the Auchan finance team to centralise data, facilitate its analysis, ensure the completeness and perfect consistency of reconciled intercompany balances with those of the consolidated accounts, increase information reliability, and accelerate dispute resolution.
• Via a specific report, the system also provides group auditors with full traceability for quick and easy auditing of all data.

Since the implementation of Intercompany in 2012, the group now uses the perfect software for an optimal intercompany reconciliation process, resulting in an optimal closing process on group level as well as on entity level.

Next to the quality of the information and its optimized traceability, also the productivity of the process has increased: with the implementation of the software, the time spent on reconciliation at every closing period is reduced from 2 persons for 2 weeks to 1 person for only 2 days (preparing the process).

Intercompany is based on a technology that is easy to use. This allowed the users of the software (about 100 end-users) to be quickly operational with the tool. Furthermore, the software enables to:

Sinds de implementatie van Intercompany in 2012 zijn de leden binnen de groep Auchan unaniem over de performantie en gebruiksvriendelijkheid van het pakket voor een doeltreffende afstemming van intragroepstransacties zowel op niveau van de groep als op niveau van de entiteiten. Dit resulteert op zijn beurt in een verbetering van het afsluitingsproces met steeds strakkere deadlines.

Naast de kwaliteit van de gegevens en de traceerbaarheid – die met Intercompany aanzienlijk zijn verbeterd – is ook de productiviteit er enorm op vooruit gegaan. Terwijl voordien bij elke afsluiting twee personen full time werden aangesteld voor een periode van twee weken, is er nu slechts één persoon twee dagen bezig met de voorbereiding van het proces.

• Optimale en efficiënte samenwerking

Intercompany maakt gebruik van een collaboratief platform dat de gebruikers toelaat om bijvoorbeeld documenten en opmerkingen toe te voegen voor het verklaren van de verschillen. Daarnaast is het financiële team van de groep in staat om de data te centraliseren: zij krijgen in real-time een overzicht van de intercompany posities van de verschillende partijen tijdens de afstemmingsperiode. Dit collaboratief proces zorgt ervoor dat het financiële team zich enkel moet focussen op het verklaren van de overblijvende verschillen.

• Automatisatie

Het gebruik van Intercompany laat toe om het reconciliatieproces volledig te automatiseren: van de lokale boekhouding tot het automatisch inboeken van de eliminaties in de consolidatiesoftware. Daarnaast biedt de software een garantie dat de bedragen van de gereconcilieerde transacties en die van de geconsolideerde rekeningen accuraat zijn en niet verschillen van elkaar.

Een uitzonderlijke audit trail en volledige traceerbaarheid zorgen ervoor dat de groep ook het audit proces kan versnellen, onder meer via het gebruik van specifieke rapporten die bestemd zijn voor auditors.
